Your platform's own CSV, into Xero automatically, without reformatting

If your booking, ordering or sales platform exports the same CSV every day, week or month in its own layout, EntryRocket builds a reader for that exact file. You email the export to your reader's address and it becomes sales invoices in Xero automatically. Nobody renames columns, fills in Xero's template or types anything.

It works the same for bills, purchase orders, credit notes and manual journals, and for exports that arrive as Excel, PDF or XML rather than CSV.

Why your platform's CSV will not go into Xero as it is

Xero's sales invoice import only takes its own template: its column names, dates in your organisation's format, contact names and tax rates that already match Xero exactly, and one row per invoice line. A booking or sales platform exports what suits the platform. One row per booking, a channel fee in its own column, a tax total instead of a tax rate, a date like "Mon 22 Sep".

So every time, someone has to copy the export into Xero's template, or type the invoices in by hand. Small platforms rarely have a Xero app of their own, so that job never goes away.

A reader removes that step. It is written for your platform's file once, and it does the translation every time the file arrives.

How it works

Setup happens once. After that, you just email the files.

1

Send us a sample export

One real file from your platform, and a description of what you need to see in Xero. We reply with any clarifying questions we might still have about how you want your files imported into Xero.

2

We build your reader

Your reader is a small app written just for you and your files. Every rule you follow today when you do this by hand goes into it: which rows to skip, how to group them, which account code each line gets, etc. It works with your own Xero contacts, tax rates and tracking categories.

3

Test it on your files

Send a few real exports and see what lands in Xero. If anything is not quite how you want it, tell us and we change the reader. The monthly plan only starts once it works.

4

Email your files anytime

Everything appears in Xero, and you get an email listing what was created and anything Xero rejected. If your platform can email the export on a schedule, send it to your reader's email address and nobody has to touch the file.

A weekly booking export, and what it becomes in Xero

Take a tour operator whose booking platform exports one row per booking item every Monday:

Booking Date Booked by Item Qty Total inc GST Channel fee
BK-20931Mon 22 SepCoastline TravelHarbour kayak tour (adult)4356.0042.72
BK-20931Mon 22 SepCoastline TravelWetsuit hire460.000.00

The reader turns every row for BK-20931 into one sales invoice in Xero for the contact Coastline Travel, dated 22 September, with the booking number as the reference. It has one line for the tour and one for the wetsuit hire, each on its own revenue account with GST on Income. The invoice total matches the platform's $416.00 to the cent. The $42.72 channel fee goes where you want it: a separate line, a bill to the platform, or nowhere.

That is just one way to set it up. How rows are grouped, which contact and account each line goes to, how tax and fees are handled: all of it follows what you want. You decide once, when the reader is built, and nobody has to decide again each time they import.

What a reader can do with your export

The rules your bookkeeper applies by hand today go into the reader instead.

Group rows into invoices

Your file may have a row for every item sold. The reader groups those rows into invoices the way you want: one per customer, one per order or one per day.

Match your Xero contacts

If the customer is already a contact in Xero, the invoice goes to them. If they are new, the reader adds them as a contact first.

Keep the tax to the cent

Where your platform works out GST or VAT differently from Xero, the reader can hold each invoice to the platform's own tax figure, so the totals agree and reconciliation just works.

Handle fees, splits and payments

Channel fees and commission on their own lines, one file split across several Xero organisations, and payments recorded against the invoices when the file says they are paid.

Attach the source file

The export can be attached to the invoices it created, so the original is one click away in Xero.

No row limit to split around

Xero's own import caps how many lines one file can hold. A reader takes the whole export in one email.

Platforms whose exports we already read into Xero

These are platforms whose files run through EntryRocket readers for customers today. Each reader is still built for your own file, because two businesses on the same platform rarely want the same thing in Xero. If your platform is not here, that is the usual case: send us a sample and we will take it from there.

When this is not the right answer

  • •Your platform already has a Xero integration that does what you need. Use it. A reader is for platforms without one, or where the integration falls short.
  • •It is a one-off. Readers are built for files that keep coming. For a single historical load, Xero's own import or a spreadsheet clean-up costs less.
  • •The file is a scan or a photo. Readers need a file a computer can read: CSV, Excel, XML, JSON, or a PDF with real text in it.
  • •Your CSV already matches Xero's template. Then Xero's import works. Check it first with our free Xero CSV validator.

What it costs

A one-time $99 setup fee per file layout, then a monthly plan from $29, priced by the number of documents created in Xero. One invoice is one document, however many lines it has.

The monthly plan only starts once the reader works on your own files. No contract, and a 30-day money-back guarantee that covers the setup fee too.

Frequently asked questions

About getting a platform's own export into Xero.

View all FAQs →
How do I get my platform's weekly CSV into Xero as sales invoices without reformatting it? +

Send EntryRocket a sample of the export. We build a reader for that exact layout, and from then on you email each new export to your reader's address. The reader turns it into sales invoices in Xero and emails you a report of what it created. You never rename columns or fill in Xero's template.

Do I have to map the columns myself? +

No. We build the reader around your file, including which columns become the contact, the lines, the tax, the account codes, etc. If the platform changes its export, you tell us and we update the reader.

Can the platform send the file to Xero without anyone touching it? +

Often, yes. If your platform can email its export on a schedule, point that email at your reader's address. The file goes into Xero without anyone downloading or forwarding it.

Can I check the invoices before they are approved in Xero? +

In most cases, yes. While you test the reader, invoices can be created as drafts for you to review, and approved later. The exception is a file that also records payments: Xero only accepts a payment on an approved invoice.

What does it cost? +
